Automations Walkthrough

Last updated: January 29, 2025

Automations are designed to streamline and automate several workflows, effectively becoming your always-on program coordinator.

You can easily create flows to automate tasks like discovery, recruitment, and program management, allowing you to focus more on the strategic areas of your work, unlocking the next stages of your programs while Superfiliate handles your repetitive tasks.

Automations are made up of three main components:

Triggers

This is an event that "kicks off" the automation - it can be something the Superfiliate does, something you do, or even something related to their performance. Below is a list of current triggers:

  • Keyword Comment - when someone comments a specific keyword on one of your brand's posts

  • Keyword DM - when your brand has received a DM with a specific keyword

  • New Instagram Mention - When your brand is mentioned on Instagram

  • New Seed - When a Superfiliate is added into a seeding campaign

  • Conversion Approved - When a Superfiliate successfully referred someone

  • New Application - When a new application has been received via your sign-up form

  • Enrolled Superfiliate - When a Superfiliate is enrolled in a program

  • Superfiliate Moved - When a Superfiliate has been moved to a different program

Each Trigger can be configured to be one time only, or toggled on to allow contacts to enter the flow multiple times

Filters

Filters are used to define the conditions where a trigger is valid - what keyword must be used, what program should a Superfiliate be moved to etc.

Filters can be about the Trigger (keyword etc.) or about the Superfiliate (number of Instagram followers, referral revenue)

You can combine multiple conditions via AND and OR statements

Actions

The action is simply what you want to have happen when the conditions are met - you can set an intermediary action prior to the "ultimate" event, or go straight into the outcome you want.

Intermediary Actions

  • Time Delay: Set how many seconds, minutes, hours or days you want to wait until the next step in your Automation (e.g. if someone mentions your brand on Instagram, maybe you want to wait 1 day to invite them to join your program)

  • Conditional Split: Stop or continue the Automation flow based on additional criteria:

    • Properties about the Superfiliate

    • Properties about the Trigger

    • When someone has not yet taken a specific action (no mentions on Instagram, no reply to an Instagram DM, or no orders or referrals in a specific timeframe)

A/B Test: Split the Automation flow (and next steps) differently, based on a percentage. If 100 people meet the criteria to funnel into the Automation and you configure a 50/50 A/B Test, 50 will go through Variation A and 50 will go through Variation B

  • This can be helpful if you're testing different subject lines/copy or communication cadence

Action

  • Send an Instagram DM: If they have already interacted with your brand, it will automatically send a DM

    • Most commonly used to invite to join programs

As of January 2025, Meta has updated its policies to enhance user experience and reduce unwanted messages from third-party apps. These changes impact how some features in our platform work. Here’s an overview:

  • 24-Hour Messaging Window: Merchants can send messages to creators within a 24-hour window after the creator sends/reacts to a message or visits/comments on a post on your page.

  • Drip Communications in Automations: You can still use drip messaging, but it’s now limited to a 24-hour period post last interaction.

  • DM Communication: Messages sent outside the 24-hour window will no longer be delivered. You will need to use your native Instagram inbox to continue the conversation after the window has passed.

  • Send an email: Draft the email you want to send, including subject line and attachment

    • This could be a welcome, or re-engagement strategy, for example

  • Custom Klaviyo Metric: This creates a custom metric in Klaviyo that you can then use to set up a flow within your Klaviyo account

    • For example, you could automatically enroll all your dormant/at-risk members in a drip campaign to re-engage them or celebrate your top tier VIPs when they hit a revenue milestone with a beautifully branded message

  • Move to a program: Automatically move the Superfiliate from their current program to another

    • If their new program has different incentives and rewards, their link/code and commission will automatically update. We recommend including an email/Klaviyo Metric+Flow step as part of this Automation to clearly communicate (and congratulate) when one of your members has "graduated" to the next tier

  • Add new balance: Add balance to your Superfiliate's wallet (payout or store credit based on the program they're in)

    • Use in conjunction with a celebratory email, DM or Klaviyo flow when your Superfiliate achieves a milestone in your program to enforce positive behaviors and keep them engaged in your partnership

    • Use to re-engage a dormant Superfiliate who used to be a top performer but has failed to participate lately
